In short
Coform Collective is a collaborative design-alignment platform. You create a project, upload inspiration images, make selections, and invite your team. We store what you put in and show it to the people you choose.
If you connect your Gmail account, Coform reads only email conversations about your project — identified by keywords, contacts, and addresses you control — so they can appear as short summaries in your Communication hub. We never send email on your behalf, and your inbox is never shared with other users.

Account information
When you sign up we store your name, email address, and a profile photo if you upload one. We use your email to send project invitations, progress notifications, and password-reset links.
Project content
Images, selections, plans, renderings, notes, votes, and comments you add to a project are stored so your team can collaborate. Only people you invite to the project — or who have the project's public share link — can see that content. You can delete any item or the whole project at any time.
Gmail integration
Coform offers an optional Gmail connection so email conversations about your project appear as concise summaries in your Communication hub. Connecting is per person: you connect your own Google account, and nobody else on the project can see your inbox.
What we access: Email message metadata (sender, subject, date) and message body text for conversations that match your project's keywords, contacts, or address. We also list attachment names so the hub can flag that a file was included. We do not download attachment contents.
How we use it: AI reads matched conversations to produce short bullet-point summaries, identify topics and statuses, surface action items and follow-ups, and detect scheduled meetings. The original messages are not stored; only the summaries and metadata are saved to your project.
Scope: Read-only access (gmail.readonly). Coform cannot send, delete, modify, or label your email.
Disconnecting: Go to Settings → Email account and click Disconnect. Coform immediately stops reading your Gmail and deletes the connection token. Previously summarized threads remain in your Communication hub until you delete them.
AI features
Coform uses AI models to help with image analysis, rendering generation, Concierge questions, and email summarization. Content you provide (images, notes, email text) is sent to the AI provider to produce a response. We do not use your project data to train models.
Data retention
Your project data stays until you delete it or close your account. When you delete a project, its images, comments, votes, selections, and summaries are removed within 30 days. Connection tokens for Gmail are deleted immediately on disconnect.
Third-party services
Coform uses Google for Gmail integration (described above), Lovable AI Gateway for AI features, and your project's backend for data storage. Each provider has its own privacy practices governed by their respective policies.
Security
Project data is stored with row-level security so only authorized members can read it. Gmail connection tokens are encrypted at rest. Access to your Google account is scoped to read-only and never includes the ability to send or modify email.
Your rights
You can view, edit, and delete your project data at any time within the app. To export or delete your account, contact hello@coformcollective.com. EU and UK residents may request access, correction, or deletion under GDPR; California residents have equivalent rights under CCPA.
Children
Coform is not intended for anyone under 13. We do not knowingly collect data from children. If you believe a child has provided information, contact us and we will delete it.
Changes to this policy
If we update this policy we'll post the new version here with a revised date. For material changes to how we handle Gmail data we'll notify you in the app before the change takes effect.
